Department Overview

 

The main activities of London & IT are business analysis & project management. There is also a team in charge of applications support. The teams are located in London and Mumbai.

 

Since 2015, London & IT is in charge of the Beacon project, a global Finance application to report Accounting controls performance results.

Position Summary

 

The graduate will join the Beacon project management team and will contribute actively to the project management. His/her responsibilities will vary according to planning and priorities.

 

The graduate will evolve in a multi-cultural environment: project team and end users. Due the various locations, most of the meetings / workshops are managed by conference/video calls or Business skype.

 

Information on the project:

  • Sponsor: Finance Accounting Controls
  • Users: Finance & Back offices across all CIB entities (APAC, Americas, Middle-east, Europe)
  • Project team: Project management (2/London), Business analysts (2/London + 1/Mumbai), IT Development (7/Mumbai), QA (1/Mumbai), Super users/Sponsors (2/Paris)
  • Support teams: Mumbai (main site), London, Canada
  • Challenges:

  1. On-board the European entities in 2018 & 2019
  2. Continue delivering enhancements & new functionalities (monthly releases / Agile)
  3. Organize the project from a full project mode to a Project plus Business as usual mode
  4. Fulfill with any ad-hoc requirements and project work as it arises. Some examples:

- Governance reviews

- Additional testing cycles organized for key release

- Basic business analysis required from time to time



Responsibilities (mandatory)


Comments


Project Manager


Build and maintain realistic project planning (whether the project is being delivered in waterfall or Agile mode).


Lead the identification and management of Risks, Issues and Independencies and minimise/remove the impact of these as far as possible.


Provide regular project status reporting to LOIT management, project sponsors and stakeholders and run steercos as required to promote transparency.


Set the project budget and manage any deviations from this in a timely manner.


Ensure as far as possible that the project team is positive and motivated to achieve


results, taking all members views into account.


Escalate promptly issues requiring support from line management/programme management/sponsors. Build strong relationships with stakeholders, looking for common ground and leading by example to encourage the rest of the project team to follow suit.


Ensure that appropriate test plans and scripts are formulated for all projects you run. In the case of defects found during testing, lead arbitration/prioritisation discussions within the team and with the sponsor/users as needed.


Ensure that the project is closed in a controlled manner, recording learnings, providing final budget versus actuals status and making sure full handover to support and maintenance mode has been done.  


 

Business Analyst


Analyse and define requirements from all necessary perspectives-user, business sponsor, regulatory needs, security, performance, support, business continuity, data retention.


Write User Stories/Functional Specifications to a necessary level of detail which allows both users and IT Developers (be they based in IT Europe, ISPL Mumbai or elsewhere) to understand what is needed. Clarify/explain/articulate further if requested.


Compile Test Plans and Test Scripts maintaining traceability to User Stories and identify entry/exit criteria for each test phase.


Execute System Integration Testing, record all results and provide input on the priority of any defects you find.


Plan, execute and support the User Acceptance Testing(UAT) phase. Provide input on the priority of any defects found in UAT.


Provide visibility on your effort planned and spent by pokersizing and planning your tasks, and providing status of these at the daily Standup.


Share risks and issues promptly, taking any steps you can to minimise the impact of these and escalating as needed.


Develop and implement any user training requirements identified including but not limited to the creation of user guides.


 


Scrum Master


Ensure that top priority items in Jira are estimated and broken down in its components


Ensure that sprint planning has been done as first thing in the sprint and sprint scope has been agreed


Monitor the work in progress and ensure that work load is smooth i.e. team is meeting the average daily velocities to achieve the sprint velocity


Reassign items to team members in case sprint is not progressing as planned


Encourage the team members to update comments and documentation on a regular basis. Especially where there are blockages to the progress of the items


Identify key risks and issues for the sprint and escalate in a timely manner to maintain a consistent velocity


Conduct sprint retrospectives and implement the actions discussed. Propose changes to the current practices where things can be improved


Arbitrage the sprint scope in case of urgent production incidents. This will mean taking some items item of the scope and adding the incidents


Enforce the definition of done for the individual items so that items are closed only after completion


Maintain the inventory of work i.e. prioritized list for the ITE scope


Stakeholder reporting to various areas with input from stream leads and project managers


Input to management reporting for steering committees

Contribute to the ongoing Continuous Improvement Initiative kicked off by LOIT's 2015 Lean wave by promoting the Agile way of working, supporting and taking part in the Daily Standups, taking on any specific tasks (agreed with your Line Manager) and providing constructive input for further changes/improvements which can be made.


Attend and support the daily StandUp meetings, taking your turn to lead the Standup periodically


Provide 3rd line production support where requested by LAS APS


Promote LOIT as a software service provider when dealing with users and stakeholders where appropriate to assist with maintaining and extending LOIT's reach.
